Rental document & workflow platform

Release your team from rental administration.

Re-Lease is rental document management and workflow automation, purpose-built for South African letting agencies. It brings rental documents, workflows, communications and approvals into one controlled process — so your team spends less time on manual administration and more on clients, properties and growth.

Protects the rent roll. Every lease, renewal and document on one register, with the next action named.
Feeds the sales pipeline. Every non-renewal gets asked the valuation question.

Why Re-Lease exists

Rental administration is scattered by default.

It lives across email, spreadsheets, shared folders and manual follow-ups. The same information is captured again and again. Documents get chased rather than tracked. And nobody can see at a glance what is finished, what is still outstanding, and who has to act next.

None of that is anyone's fault. It is simply what happens when a process with this many parties, dates and documents is run out of an inbox.

Re-Lease centralises the rental-document lifecycle and the routine workflow around it, so the process is clearer, faster and better controlled.

Manual follow-ups

One controlled process

Documents, workflow, communications and approvals — in one place, in one order.

What changes

Three things a controlled process buys you.

Reclaim productive time

Less document preparation, less repeated capture, less manual chasing. Renewal papers draw from the lease record and your own templates instead of being rebuilt by hand every time.

See what that saves

Create control and visibility

Know what is complete, what is outstanding and who must act next — across every lease on the register, without reconstructing it from an inbox.

Standardise rental operations

Every lease and every renewal runs the same consistent, auditable process, so the outcome does not depend on who happened to pick it up.

Who it changes things for

One process. Four different reliefs.

Agents

More time for mandates, landlords, tenants and the work that actually earns.

Administrators and letting teams

Less repetitive capture, less chasing, less reconciling documents against the lease file.

Agency leadership

Visibility across the portfolio, a consistent process, and operations that scale beyond the person who knows where everything is.

Landlords

A faster, clearer rental experience — decisions and signatures on a secure link, with no thread to dig through.

Where we are

Controlled soft-launch

Re-Lease is live and taking on South African letting agencies one at a time, so each one gets its templates, deadlines and team set up properly rather than left to figure it out.

Working with agencies

YOUR AGENCY, your brand

Each agency gets its own branded Re-Lease workspace — its own colours, templates and renewal workflow. A branded evaluation workspace is already configured and running for an established franchise agency.

Evaluation workspace, not a published result. Every figure and property shown on this site is demonstration data — no agency's client information appears here.

How it works

Six steps. Five of them run themselves.

You put the lease on the register. Re-Lease does the chasing, the drafting and the filing from there — nothing is left to memory, and a non-renewal never ends as a dead end.

1

Track

The lease and its expiry date, on the register in under a minute.

2

Alert

The reminder fires on the right working day, before notice is due.

3

Propose

The landlord gets the renewal terms on a secure link.

4

Respond

The tenant answers on the same thread — no printing, no scanning.

5

Sign

The addendum is drawn from your templates and signed by both parties.

6

Renew

The signed addendum and every step behind it land in the audit file.

If they renew
  • Landlord confirms terms, tenant accepts
  • Both parties sign digitally
  • Addendum filed to the lease vault
  • Lease status updates to Renewed
If they don't
  • Either party declines
  • The notice is drawn from your template library
  • Dates, parties and property fill from the lease
  • The exchange lands in the audit file — case closed
And if the landlord is selling
  • The same form offers them a valuation
  • Any contact number they leave comes with it
  • Your team is alerted separately from the notice
  • A lost lease becomes a mandate you can pitch for

Beyond the admin

Every lease that ends gets asked the question nobody remembers to ask.

In any book of a few hundred leases, some landlords are quietly weighing up whether to sell. Nobody phones three hundred landlords on the off-chance to find them, so the question tends to get asked only when an agent happens to think of it.

A lease that ends does not have to end the relationship.

When a landlord declines, most agencies lose twice: the rental mandate now, and the sale later, to whoever happens to call first. The property leaves your book and turns up on somebody else's window.

  1. The lease ends. The landlord declines the renewal on the secure form.
  2. The same form asks whether they would like the property valued.
  3. They accept, and leave a contact number. Your team gets its own alert.
  4. Your agent does the valuation, on your agency's terms — and the conversation about selling starts with you.

What the landlord sees

On the same secure form where they decline the renewal, one optional question: would you like us to value the property? No second email, no separate login, nothing to arrange.

What your agency gets

A named lead — the property, the landlord and any contact number they leave — emailed to your team as its own notification and counted on your dashboard, not buried in the non-renewal notice.

Why the timing works

You are asking someone who has just decided to end the lease. It is one of the few moments when the question is already on their mind — and you are already the agent holding the property.

And what the landlord gets

The offer of a valuation, at the moment they are asking the question anyway.

Ending a lease is usually a decision about the property, not about the tenant, and the landlord is already weighing up what to do next. The offer reaches them at exactly that point — and it comes from your agency, which is the one that already holds the file.

  • Nothing to arrange

The offer sits inside the form they were already completing. One tick and a contact number.

  • From the agency that knows it

The rental history, the condition, what the property has actually achieved — already on file with you.

  • No obligation attached

It is an offer to value, not an instruction to sell. Declining it changes nothing about the notice already in motion.

How many sales mandates a year would justify the subscription?

That one is your arithmetic, not ours.

We are not going to promise you a number. Re-Lease has to earn its place on the renewal admin alone — that is what the rest of this page is about. What the valuation question adds is only this: the ask happens, on every non-renewal, for as long as you have the subscription, without an agent having to remember it.

Re-Lease captures and routes the landlord's interest. It does not value property and never sends the landlord a price or an estimate — your agents do the valuation, on your agency's own terms.
